How to Acces QIS?
Firstly you need to request Evershine IT through ” IT Request Form” to provide your Email with authorization to access QIS.

首先,您需要透過「IT申請表」向Evershine IT部門提交申請,提供您的電子郵件地址以授權存取QIS系統。

This function will allow you see all quotation projects being authorized to you.
If your role is CityAdmin, you can see all quotations on that city.
If you are a general user, you can only see those quotation being authorized to you.
You can sort quotations by Country , By City, and other sorting methods, like keywords, to find out what you want to search.
After find out Target, you can click QuotationNO to open it , and then go to below KQ-D 報價單.
此功能可讓您查看所有已授權給您的報價項目。
如果您是城市管理員CityAdmin,則可以查看該城市的所有報價。
如果您是普通用戶,則只能查看已授權給您的報價。
您可以按國家/地區、城市以及其他排序方式(例如關鍵字)對報價進行排序,以查找所需內容。
找到目標後,您可以點擊「報價編號」QuotationNO將其打開,然後前往下面的 KQ-D 報價單。

And After find out Target, You can also click Copy to generate a new quotation project, then use it as template to draft your new quotation project.
It significantly save your quotation draft time around 95% if having previous similar scenario quotation as a reference.
Each project from first offering to close deal are estimated to revise it averagely three times, Total engagement cycle will spend only less than 0.5 working hours in preparing Quotation Documents.
This is what QIS is called very very Powerful.
Please notice if without QIS , cycle of preparing a quotation for averagely three times per case , usually will spend around 20 working-hours.
Especially, a different colleagues undertake never-touched scenario case, whole spending hours might be over 200 working-hours.
找到目標客戶後,您還可以點擊「複製」以產生新的報價項目,然後將其用作範本來撰寫新的報價項目。
如果先前有類似案例的報價作為參考,則可大幅節省報價草稿時間約 95%。
從首次報價到最終成交,每個案例平均需要修改三次, 在整個專案週期中,準備報價文件僅需不到 0.5 個工作小時。

Every previous real client quotation could be a template of next future clients.
In 2016 when we did system of design Evershine QIS, originally, we would like to create many templates for different countries and for different services.
However, we found out that Every client have their own scenarios , even they are in the same country, different clients can not use the same template.
We concluded Every previous real client quotation could be a template of next future clients.
Finally, we finished this QIS as very very important knowledge-accumulating mechanism.
In conclusion , finding out previous similar-scenarios quotation project and clicking Copy to generate a new quotation project, is very very important function.
2016年,我們在設計Evershine QIS系統時,最初的想法是為不同國家和不同服務創建多個模板。

可以顯示 並編輯Basic 基本資料欄位,包括許多欄位,但下列7個欄位必須填清楚:
1.Evershine Entity,
Evershine Entity 是一個很重要的欄位,由於系統有 20+ 個法律主體,必需確認是哪一個公司和客戶簽約的。
2.Customer + Service,
Customer + Service Co 也是一個很重要的欄位,它是印在報價單的抬頭,命名通常是:客戶名稱(投資者)+ 國別(被投資地)+服務名稱,例如:永輝 – 加拿大 – 非居民 VAT 報稅服務。
3.City,
City 這部分一定要選得正確,因為在搜尋時將會依城市自動帶出國別,如歸類不正確時,再次搜尋不容易找到。
4.From Country,
指的是客戶所在地的國別。
5 Language,
Language 將會決定 Label 的顯示語言,亦可使用 Replace 更改。
6.Currency
Currency 將會決定幣別,亦可用 Replace 更改。
7.PdfFormat(根據語言採用預設),
pdfFormat 這次印出的語言,常見的狀逛是語言採用預設英文,當內容有中英併列,PDF 會有亂碼,這時候就要改設成中文。

常常有客戶在詢價當中,要求要改幣別或/及語言,因此開發了此次 Replace 功能,大大地節省報價時間。
Change Currency+convert Price
可以更改欄位,例如從美金改成台幣。
在更改的同時,前一次使用選擇的數據及所有價格都被替換。
例如美金計價的報價單為 30 比 1 時,改成台幣 30,會自動把小數點後數值也一併修改。
Change Language
也可以更改標題文字的語言。
可以依照實際使用服務項目(有 4 種語言),直接切換語言;也可以根據選擇某個以前的報價單來改本次報價單的展示語言。

Introduction是報價單或合約單的重要文字內容, 是最重要的一段。
包括:稱呼、服務合約範圍的描述、以及各項服務項目的報價的綜合說明,雙方的權利義務,保密條款,本專案的連絡窗口,甲方委任客戶方的資料+簽名人+日期,乙方受任方永輝的資料+簽名人+日期。
Copy以前客戶報價單來修改時,需用 text find/replace,來確保沒有遺留過去客戶資料。

Subcontractor 是指本專案已經找到的下包商,不會印出來給客戶,但會記錄下包商議的人名、聯絡人、電郵、電話、非檔案型的文字報價資料…等等, 以便將來我方或業務,碰到客戶要到同樣城市的案子詢價時,可以參考報價。
通常會用Subcontractor的電郵,找我們過去來往的郵件找到Subcontractor過去的報價。

Service items are composited by both Main Service item and its sub service items
This function being used to edit, modify or delete the contents of each Main Service Item.
it usually is used for describing the contents relevant with this specific Main Service item like payment terms , special notes etc.
服務項目由主服務項目及其子服務項目組成。
此功能用於編輯、修改或刪除每個主服務項目的內容。
它通常用於描述與特定主服務項目相關的內容,例如付款條款、特殊說明等。

Service items are composited by both Main Service item and its sub service items
This function being used to edit, modify or delete the contents of each sub Service Item.
This function is most important function in this QIS.
it is used for describing the contents relevant with this specific Sub Service item like procedures relevant with this Sub Service item, required documents, government reticulations etc.
服務項由主服務項及其子服務項所組成。
此功能用於編輯、修改或刪除每個子服務項目的內容。
此功能是此報價資訊系統中最重要的功能。

This function is also most important function in this QIS.
This function let you to Edit or Modify or Delete, new “Charge Items”.
Each Charge item includes ” Unit Price “multiplying “Quantity”.
It can include several “Charge Items”.
Until 2025/11/1, it have around 625 Charge items which can be chosen.
You can chose “Charge Items” through click telescope image beside Charge Type.

In our QIS , it will list all possible-be-used service items whatever it is being used at present (marked as “required”) or in the future (marked as “optional”).
It avoid providing quotation too frequently, especially these big companies with lawyer-review prractice.
Here set these ” required” service items, which will be used at present, being marked “v”。
and set thses “optional” service items, which will be used in the future, being marked ” ” empty。
在我們的報價資訊系統(QIS)中,所有可能使用的服務項目都會列出,無論它們目前是否使用(標記為「必需」),或將來是否使用(標記為「可選」)。

Two scenarios as below:
(1)When you do not find your proposed service items , whatever it is being used at present (marked as “required”) or in the future (marked as “optional”), you can use this function to check if your copied project exist other service items what you need.
If yes, you can mark” V” and Save Selected Items to get them.
(2)Contrarily, if you find these service items, which you do not want to set them as “required” and “optional”, you can mark these service items as ” ” empty.
以下兩種情況:
(1) 當您找不到所需的服務項目時,無論其目前是否已被使用(標記為 “required”)或將來是否會被使用(標記為”optional”),您都可以使用此功能檢查複製的項目中是否存在您需要的其他服務項目。
如果存在,您可以勾選“V”並儲存所選項目。

When you do not find your proposed service items , whatever it is being used at present (marked as “required”) or in the future (marked as “optional”), and after you using function “JobAndCharge >>Display>>(All)”, you still can not find out service items what you need, then you can use this function to append service items what you need.

This function is being used to copy contents of service items from another existent chosen project by batch.
First step,
you use function ” >>Source Quotation “and click telescope image to choose another existent chosen project .It will show up all service items of the chosen project. Then you mark ” V” in service items what you want to copy.
Second step,
you choose the below contents what you want to copy。
*Copy Job ItemNote
*Copy Current Description To Note
*Copy Job Description
*Copy Job Description And Replace Charge Items
*Replace Charge Items
Third step.
click “Save Selected Items”.
此功能用於批次複製另一個已選定項目中的服務項目內容。
第一步,
使用 ” >>Source Quotation “功能,點擊放大鏡選擇另一個已選定項目。這將顯示所選項目的所有服務項目。
然後,在要複製的服務項目中標記「V」。

FrequencyNote
There two kinds of Quotation pdf files.
The first one is Simple version for easier review by clients.
The second one is Complete version with optional Service Items for Engaging use.
Simple version only include those “Required Service items” , Exclude “optional service items ” which might be used in the future.
Simple version Quotation include two kinds format: Simple-by Frequency and Simple-by Item .
Simple-by Frequency Format is used for combining several Main Service Items like ELP (Payroll Services )+ ELV (VAT Services) +ELE (Expenses Compliance Check)+TRD (BPO services )+ GLA (Accounting Services)+ELY (Annual Tax filing Services) +……etc.
Due to they always have same parameters of Charge Items , like employee numbers+Transactions Number +Etc, among different Service items , we will combine fee calculation by the same Payment-Frequently at same Charge Items.
It significantly simplify quotation fee structure and let clients understand estimated fee amount when Parameters change,like employee numbers+Transactions Number +Etc.
Due to restructure among service items, it needs to edit FrequencyNote.
報價單PDF文件有兩種類型。
第一種是簡易版,方便客戶快速審查。
第二種是完整版,包含可選服務項目,供客戶使用。
簡易版僅包含“必需服務項目”,不包含未來可能使用的“可選服務項目”。
簡易版報價單包含兩種格式:按頻率計費和按項目計費。
以頻率計費格式用於合併多個主要服務項目,例如ELP(薪資服務)+ ELV(增值稅服務)+ ELE(費用合規性檢查)+ TRD(業務流程外包服務)+ GLA(會計服務)+ ELY(年度稅務申報服務)等等。
由於不同服務項目的收費項目參數(例如員工人數+交易次數等)基本上相同,我們將以相同的付款頻率和收費項目合併計算費用。
它顯著簡化了報價費用結構,並讓客戶了解參數變化(例如員工人數+交易次數+等等)時的預估費用金額。
由於服務項目結構調整,需要修改FrequencyNote。

This function is used for generate required FrequencyNote in this quotation project, which are composed by Main Service Item code intersected with 5 kinds of frequency period like monthly, bimonthly, quarterly, semi-yearly, Once a year. It will be shown by marked “V” in “Used” field.
此功能用於在此報價項目中產生所需的頻率備註,該備註由主服務項目代碼與 5 種頻率週期(例如每月、每兩個月、每季、每半年和每年一次)組合而成。它將在“Used”欄位中以標記“V”顯示。

Then you can Then click “Edit” to enter it for editing, modifying, revising.
Three ways to do Edit:
–you can use “telescope image” to find out the contents of past quotation projects., copy it and revise it and Save it.
–You can use “Fill In All ItemNote” and then revise it and save it.
–You can use “Fill In All Item Description” and then revise it and save it.
然後您可以點擊「編輯」按鈕進行編輯、修改或修訂。
三種編輯方式:
–您可以使用「放大鏡」功能檢視以往報價項目的內容,複製並修改後儲存。
–您可以使用””Fill In All ItemNote”功能進行修改並儲存。

Evershine QIS will generate two kinds of version: Simple version and complete version.

It is majorly used to describe “Payment Terms” and “contact windows information”.

If the project is to provide services on company registration or Immigration application or FDA RA or other special industry permit etc , it is used for describing its procedures.
if the project is to provide regular compliance services like corporate income tax, VAT , Withholding Tax, Social insurance, social benefits, labor filing , anti-laundry etc, it is used to describe the Calendar on when to file or report and what kinds of documents.

Authorization of QIS
QIS 報價單資料授權方式
(a) Admin 管理員身份,全部皆可看
(b) CityAdmin 城市管理員,該城市全部皆可看
(c) 如非Admin 管理員 也非CityAdmin 城市管理員, 只有在這個專案報價單的個別被授權人才看得到。
(d) 對這個專案有權限的所有人= Admin 管理員 +CityAdmin 城市管理員+ 個別被授權人
(E) CityAdmin 城市管理員,該城市全部皆可看;
(F)建單人與建立新Quotation Project 時自動取得授權。
QIS Admin 管理員之授權與取消授權
Admin role can do all in QIS.
Any one who are going to be assigned as QIS Admin role must get approval from Principal Partner Dale Chen.
管理員角色擁有QIS系統的所有權限。
任何被任命為QIS管理員角色的人員都必須獲得首席合夥人Dale Chen的批准。
QIS CityAdmin 城市管理員之授權與取消授權

Anyone who would like to be CityAdmin, need to be assigned by QIS Admin.
Basically, if someone being authorization to be CityAdmin, then all quotations on that city , he/she will be able to review , edit and modify the contents of all past quotations as reference.
Although a CityAdmin can review or edit or modifying or delete all city-relevant quotation, but if being set Deauthorization of some Project though A"uthorization>>City Limit for Deauth", he/she will not see it.
任何希望成為城市管理員的人員都需要由QIS管理員指派。
基本上,如果某人被授權為城市管理員,他/她將能夠查看、編輯和修改所有與該城市相關的報價,作為參考。
雖然城市管理員可以查看、編輯、修改或刪除所有與該城市相關的報價,但如果透過「授權>>取消授權的城市限制」設定了某個項目的取消授權,他/她將無法看到該項目。

(1) 在所有報價單查詢,找到欲授權之報價單
(2) 開啟報價單後,換至「Authorization」頁籤,(會直接顯示已授權的清單)
(3) 在人員下接選單中,挑選欲授權之人員,
(3.1) 若該人員未顯示在下拉選單裏,則開啟城市受權
(3.2) 城市授權之後,在原報價單按 refresh 重新顯示下拉選單
(4) 按「Add」 (將人員加入至已授權的清單中)

This function can allow you doing three setting of Administrators( above-mentioned as Admin)for this project:
(1) show up all possible administrators and let you mark “V” in the users you want to add them and then “Save Authorization”.
(2) show up all Quotation Administrators, and you can “Delete” Quotation Administrators what you want to delete them.(3) show up all Quotation Administrators, and you can “Edit” Quotation Administrators to change it to be what you want to add in user.

This function can allow you doing three setting of Admin Users of this city ( above-mentioned as CityAdmin) for this project.

(3) 在 Deauthorization 人員下接選單 (QuotationAdmin) 中,挑選欲解除授權之人員
(4) 按「Add」 (將人員加入至已授權解除的清單中)

There two kinds of Quotation pdf files.
The first one is Simple version for easier review by clients.
The second one is Complete version with optional Service Items for Engaging use.
Both are the same from terms-wise view-point.
Why we design two kinds of Quotation?
Due to our clients most are stock-listed company , who have law department to review this quotation, it always time consuming for signing new contract.
In order to avoid when new service items occurred . it might not being on time being reviewed on time by client’s’s law department , we include all possible optional service items being used in the future in addition to “Required Service items”
報價單PDF文件有兩種版本。
第一種是簡易版,方便客戶快速審查。
第二種是完整版,包含可選服務項目,方便客戶使用。兩種版本在條款方面完全相同。
為什麼我們設計兩種報價單?
因為我們的客戶大多是上市公司,他們有法務部門審核報價單,所以簽署新合約總是很耗時。

通常有許多main Service items 組成一個報價時 ,每個個別的Maim service Item要有一個小計(Subtotal), then Display>>(All) required mark “v” at Main service items.
假如,只有1-2個main service items, 每個個別的Maim service Item有一個小計(Subtotal),跟底下合計就重複了,就沒有必要,T then 就mark “” empty.
Simple-by Frequency Format
Simple version Quotation are for easier review by clients.
This version only include those “Required Service items” , Exclude “optional service items ” which might be used in the future.
It is used for combining several Main Service Items like ELP (Payroll Services )+ ELV (VAT Services) +ELE (Expenses Compliance Check)+TRD (BPO services )+ GLA (Accounting Services)+ELY (Annual Tax filing Services) +……etc.
Due to they always have same parameters of Charge Items , like employee numbers+Transactions Number +Etc, among different Service items , we will combine fee calculation by the same Payment-Frequently at same Charge Items.
It significantly simplify quotation fee structure and let clients understand estimated fee amount when Parameters change,like employee numbers+Transactions Number +Etc.,

Its description uses” item-note”, not ” ItemDescription”.
“Itemnote” can be copied from ” ItemDescription” firstlt and then revise it to be short.
That is because Simple Version usually need to be short for easier review by clients.

Evershine QIS is designed to be very powerful knowledge-accumulated system.
QIS is to aim to let all past efforts and practice experiences done by any Evershine Colleagues can be utilized by present clients and future clients when meeting similar scenarios.
In order to achieve this objective, we adopt two measures:
(1) Striclty controll creation of Main Service Items and its Sub Service Items.
(2)The Contents of all same Service Items can be shown out and being refereed and copied it for drafting quotation through telescope image.
Therefore if you can not find out your service items , please adopt below three steps:
Firsrly JobAndCharge >>Display>>Not-Yet-Used
you can use this function to add not-yet-used service items which are existent from copying other Quotation Project.
secondly JobAndCharge >>Append>>(All)

Thirdly, if really not exist , please discuss with Dale Chen to create them.
Why need to prudently create service items?
If needing creating an new service item, that means it needs to study new government regulations, new procedures, new required documents relevant with it, not only simply create it.

when you use below functiom “>>KQ-D 報價單>>JobAndCharge >> Click Sub Service item>> New Charge”, You can chose “Charge Items” through click telescope image beside Charge Type, and If you can not find suitable “Charge Item”, then you can ask Principal Partner Dale Chen to add new one through this function.
Until 2025/11/1, it have around 625 Charge items which can be chosen.

In order to refer previous similar-scenarios quotation, Evershine QIS have “Telescope Image” being present in almost anywhere.
You can find out contents what you want and directly copy them to site what you want to locate it.
QIS with this function , let the contents of past quotation project being reused by Evershine colleagues, it has been very helpful. That is why QIS always is so-called as knowledge-accumulating system.
